ANNUAL GENERAL MEETING – 13 JANUARY 2025
AGENDA
1) Welcome from the current Chair Scott
● 12 residents in attendance
2) Election of Committee members
● Chair: Scott - unanimous vote
● Treasurer: Maria - unanimous vote
● Secretary: Debora - unanimous vote
● General members: Jan, Will, Gary, Maria, Jayita, Mahesh – unanimous vote
3) Constitution change to appoint vice positions (vice secretary and vice treasurer) – unanimous vote.
4) Our plan
● Welcome leaflet. Action: double-check content and ask developers to distribute on new home packs)
● Encourage community-led events
● Provide useful information and contacts, specially publicising more businesses in the town centre
● Keep our community safe (neighbourhood lookout whatsapp group)
5) 2024 recap
● We hosted lots of events, including Lunar New Year, Sunflower Competition, Easter Egg Hunt / Peter Rabbit, Wintringham Day, Meet the Owls, Pumpkin Trail / Halloween decoration competition, Diwali, Christmas at Wintringham in partnership with Urban&Civic.
● Feedback from residents is that they’d like more events aimed at adults, so we are welcoming ideas for suggestions. We can also use the Loves Farm House; we’re not restricted to Wintringham school hall.
6) Finance
● Current balance: £1,832. Fixed costs include insurance, finance tool, and website hosting.
● Potential cost saving: cancel finance tool as we can use Excel spreadsheet; move the website to Wordpress.
● In the future, we need to think about fundraising, potentially charging a small donation for events.
7) 2025-26 Grants
● Town Council £1400 grant to be confirmed
● Urban&Civic grant to be confirmed
● We’re applying for the A428 community grant for £4000 (we’d use this to buy wind-proof pop up gazebos and power sources)
8) 2025-25 Events
● Lunar New Year (February), Sunflower Competition (March-August), Easter Egg Hunt / Bunny Visit / U&C Easter Crafting (April), Wintringham Day 2025 (10 May), Neighbour Day – opportunity for street parties (July), Urban&Civic Food Truck Event (August), Diwali (Oct), Pumpkin Trail (Oct); U&C Christmas at Wintringham (Dec).
● Ideas for events: Trail Colour Run; Comedy Night; Nature Trail Walk; Crafty Monkeys Pottery Night; Quiz Night.
● Lunar New Year: Saturday 1 February, starts at 4pm. Entertainment includes lion+martial arts fan dance, traditional arts and crafts, food truck Guerrilla Kitchen.
8) AOB
● WhatsApp groups: send a reminder to residents about the rules and privacy (ie name and phone numbers might be visible to all members.
● Neighbourhood lookout: WRA had a catch up with police before Christmas, where the police mentioned they will do regular patrols within the development. People are being encouraged to report all emergency and non-emergency incidents to the police, as they need the intelligence. WRA asked police to come to the next Urban&Civic forums and our events. WRA to signpost residents to information about what to report and where
